Charity auction software pricing comes in three basic shapes, and the sticker price often hides the real cost. Here is how the market works, so you can compare offers on the same footing.

Model 1: a percentage of what you raise

Many platforms charge a share of your auction proceeds, commonly somewhere in the range of a few percent, and on some platforms around 2 to 5 percent depending on plan and features. The pitch is attractive: free to start, you only pay when you succeed. The catch is arithmetic. If your evening raises 10,000 euros, a 4 percent fee is 400 euros, and the better your volunteers and donors perform, the more you pay. Percentage models also usually sit on top of payment processing fees, which are separate.

Model 2: donor tips

Some platforms are free to the organiser but ask your winning bidders to add a voluntary tip to the platform at checkout, often with a suggested amount pre-selected. Your organisation pays nothing directly, but your guests do, and some guests find a pre-ticked tip on a charity payment off-putting. If you consider this model, do the checkout flow yourself first and decide whether you are comfortable with what your guests will see.

Model 3: flat fees

The third model is a fixed price per event or per year, regardless of how much you raise. Flat fees across the market range from roughly a hundred euros for a single volunteer-run evening to well over a thousand for large gala platforms with staffing and hardware included. The advantage is predictability: you know the cost before the night, and a great result costs you nothing extra. The risk runs the other way: if your auction is tiny, a flat fee is a larger share of a small total, so check the fee against your realistic goal.

Costs that hide outside the headline price

  • Payment processing. Card and online payment fees, typically a small percentage plus cents per transaction, are charged by the payment provider under every model. Ask whether they are included or extra.
  • Per-user or per-device charges. Some pricing scales with the number of bidders or rented bidding devices.
  • Compulsory add-ons: ticketing modules, support packages, or hardware rental that turn a low base price into something else.
  • Your own time. A system that needs a trained operator all evening costs you a volunteer.

A fair way to compare

Take your realistic fundraising goal, say 8,000 euros. For each option, compute: flat fee, plus percentage of 8,000, plus estimated payment fees, plus add-ons. That single number, total cost at your goal, is the honest comparison. Then sanity-check the scenario where you do twice as well; under percentage models, success is billed.

What actually matters beyond price

Cheap software that guests find confusing costs you bids, which dwarfs any fee difference. Prioritise: bidding with no app or account needed, a clear big-screen display, automatic settlement emails, and the ability to test the whole flow yourself before the night, for free if possible.
