The real differences between silent and live auctions, when each format works, and why most fundraising evenings should combine the two.

The choice is not really silent or live. Almost every successful fundraising evening uses both. But it helps to understand what each format is good at, so you put each lot in the right place.

What a silent auction does well

In a silent auction, all lots are open for bidding at the same time, over the whole evening. Guests browse, bid, and come back later to check if they were outbid. Silent auctions are good at volume: you can run 15 or 20 lots without boring anyone, because nobody has to watch lots they do not care about. They are also kind to shy bidders. Many guests will happily raise a bid on a phone or a bid sheet who would never raise a hand in front of a room.

The weakness is drama. A silent auction produces no shared moment, and lots can drift to a close without a final push. That is why a hard, well-announced closing time matters so much: the last ten minutes of a silent auction is where a large share of the money arrives.

What a live auction does well

A live auction sells one lot at a time from the front, with an auctioneer. It is theatre. Two people who both want the signed jersey, a room watching, a countdown: that pressure produces prices a silent auction rarely reaches. Live auctions are also how you honour your best lots. A donated week in a holiday home deserves two minutes of story, not a line on a list.

The weakness is time and attention. Each live lot takes two to four minutes. After eight to ten lots, even a good room fades. And a live auction is only as strong as the person holding the microphone.

How to decide per lot

  • Put your three to six strongest lots in the live block: the ones with a story, broad appeal, and real competition.
  • Put everything else in the silent auction: the restaurant vouchers, the gift baskets, the services.
  • Anything worth under about 50 euros belongs in the silent auction or a raffle, never live. Selling a 30 euro lot from the stage costs more attention than it earns.

A timeline that combines both

Open silent bidding when doors open. Let it run through drinks and dinner. After the main course, pause it briefly and run the live block, 20 to 30 minutes at most. Then reopen the silent auction for a final announced window, for example 45 minutes, and count down the close. The live block warms the room; the silent close catches that warmth.

If you must pick only one

Pick silent if your crowd is under 60 people, if you have no confident auctioneer, or if your lots are mostly modest. Pick live only if you have a genuinely strong voice on stage and a handful of lots worth the theatre.
